roster assignment process

Once the Head Coach is assigned to a league the process begins with the following steps in the following order:

The Heach Coaches Child/Children are added to the roster.
The Official Assistant Coaches Child/Children are added to the roster.
The Returning Players(a) that have registered are added to the roster with exceptions (b). Returning players will continue to be added until all rosters are full.
Players/parents that request a coach (fall & teeball only and this is not guaranteed)
Players/parents that request a teammate (fall & teeball only and this is not guaranteed)
At around two weeks prior to the opening day for the fall and about four weeks prior to the opening day for the spring, the free agents that are registered will be added to the teams based on the age for all leagues and pitching/catching experience for kid pitch leagues.
Wait List players will be activated only to fill in open roster spots at this time.

During the above process, you will receive your roster via email when the roster is updated with any change to your roster. It will look like this:

Pretty much, every year, we have a few issues with returning players getting on the waiting list and the coaches wanting them to be added to their teams.

Although is is completely understandable I need to explain why this can be an issue. Let me give an example:

When I open registration, I need to indicate how many players I want to allow to register before it goes to the waiting list. This is difficult as I really don't know what to expect year in and year out for each league.

So, this fictional league has typically about 7 teams for the particular season. I will then initially plan for 6 teams of 12 players each which is 72 total players so then the initial maximum registration for this league is 72 players. Any player that registers after we reach 72 automatically goes on the waiting list.

However, if we reach that maximum number pretty early, I will add another 12 players to that 72 with the probability of getting that many players. If it is early. If it is late, I will only add the additional players if I can find a Head Coach.

Okay, the main reason for this email is to make sure the coaches understand that if one of your returning players goes on the waiting list, the following events must take place to be able to add that player to your team:

You take 13 players. That is your option and I really try to avoid it for most leagues but you do have that option.
Another team takes 13. This will enable me to take a player off the waiting list and add as needed.
We form a new team. This is the ideal situation where we can take a lot of players off the waiting list.
A player or players decide to not play for a variety of reasons.

What is not fair and we can't do is pull a player off the waiting list and replace a player that is registered and has paid even if the player is brand new.

You may ask why can't I just add the player to your roster?

The reason they are on the waiting list is they registered after 72 others. To add one player off the waiting list to a team means we now have 73 players in the league and someone must take 13 and other than the older leagues, we are trying to not give a team 13 players unless they want 13.

As I said, the last few years I have had players (even coaches players) wait really late and register on the waiting list. This really causes some issues. I do try to keep some open spots open early such as, in this fictional league, I may only make 70 original spots open but as it gets closer to the coaches meetings I need to open up as many spots as I can because I do believe some parents won't register at all if they see they will be on the waiting list, so we lose players.

To solve this issue. Coaches, register your child early. As early as possible.

The second thing you can do is to reach out to your returning players and have them register as early as possible. I can almost always make adjustments for head coaches children even after the waiting list but returning players that are on the waiting list can be really difficult and we want every player that is returning to be able to play. So, this is a lose-lose situation if they register late.
